Keeping track of action plans can be a hassle in practice. Within the 3rdRisk platform, you can easily register, manage and monitor all your action plans. Forget standalone spreadsheets or Outlook reminders!<h2>Creating an action plan</h2>An action plan is always associated with one or more issues. To add a new action plan, you must create an issue first. You can also add a new action plan to an existing issue. Learn <a href="https://support.3rdrisk.com/en/article/issues">here</a> how to create an issue or adjust an existing one.To create a new action plan, open an issue and go to the Action plans tab. platform will pull all these plans from the different issues and add these to the Action plans module:<a href="https://downloads.intercomcdn.com/i/o/646967319/71e036480b892cdb701a2902/image.png"><img src="https://downloads.intercomcdn.com/i/o/646967319/71e036480b892cdb701a2902/image.png"></a>In this module, you will get a complete overview of all the different action plans, the owner, person to act, scope (location within the organization to which the action plan is applicable), criticality, due date, status, and the number of open issues to which the action plan is linked.The owner and person to act will be notified about the creation of the action plan and when the due date expires.<a href="https://downloads.intercomcdn.com/i/o/646968940/1ac64ca6274f11f19c279a06/image.png"><img notified by the platform's virtual officer, you have to switch the toggle as indicated in the visual above.Tip: if you want to share an action plan with a colleague, you can easily get the URL by src="https://downloads.intercomcdn.com/i/o/646976705/195c1f82f3b51e3646b9ed74/image.png"></a><h2>Update an action plan</h2>If you want to update an action plan to, for example, populate the field status log, you can easily update the record by clicking on the action button of the applicable action plan. Click on the three dots [...] and press the Edit action plan button.<a href="https://downloads.intercomcdn.com/i/o/646973802/7b9c3a090efe5764b40a6658/image.png"><img src="https://downloads.intercomcdn.com/i/o/646973802/7b9c3a090efe5764b40a6658/image.png"></a>You can use the notes section at the bottom of the action plan window to add your status updates. Simply click on Add note to document your status updates.<a href="https://downloads.intercomcdn.com/i/o/646978717/f274411681bff97810d90cc3/image.png"><img src="https://downloads.intercomcdn.com/i/o/646978717/f274411681bff97810d90cc3/image.png"></a><h2>Close an action plan</h2>When an action plan is successfully implemented, or there is no longer a need, you can quickly close an action plan by editing the plan. You can search, filter, and create specific reports based on these tags. E.g. if you want to register all assessments related to third parties of a particular project, you can just add a project tag to these records. At a later stage, you can effortlessly search for assessments related to this project. Use the tab key on your keyboard to add multiple tags.</td></tr></tbody></table></figure>7. Select questionnaire(s)</h2>You can select one or more available assessments from your <a href="https://support.3rdrisk.com/nl/article/download-best-practice-questionnaires">questionnaire library.</a>10. Select domain(s) and reviewer(s)</h2>After selecting the questionnaires that will be part of your assessment, You can drill down into the different sections of an assessment to select one or more domains. This can differ based on the type of assessment and provided services in the contract. E.g. if you have selected a physical security contract, you do not want to include all kinds of questions about data encryption.11. If all domains (/sections) are applicable for this assessment, click on Yes: Are all domains of the questionnaire applicable for this assessment? if not, set this answer to No.13. If one reviewer reviews the assessment results on your side, click on Yes: Is one internal stakeholder responsible for reviewing all selected questionnaire domains?, else click No and select the name of the Internal reviewer. If you have selected No at step 12, select one or more domains you would like to include in your assessment.15. If you have selected No at step 13, provide per selected domain to the internal reviewer. Please refer to the <a href="https://support.3rdrisk.com/en/article/authorisation-matrix">authorisation matrix </a>for the different roles that can perform assessment reviews.16. Click on [Config]17. Repeat configuration steps 11-15 for all selected questionnaires. All selected questionnaires should have a green-coloured customize button.<h2>5. Sent</h2>18. Click on [Submit] to send the assessment to your third party.
